How do I register as an applicant?

You can only register as an applicant when invited by a participating company or educational partner.

The link in my invitation email does not work.

Please note that the link in the invitation email is only valid for 10 days. It is no longer possible to register via the link after this time. In this case, you can ask the company for another invitation. If the 10-day period has not yet elapsed, please copy the link from the email and enter it directly into your browser. If this does not work, please contact our Support Team using the contact form.

Why does my company account / educational partner account have to be activated first?

Access to a sector-specific or regional cleverheads platform is controlled by the relevant cleverheads manager. This ensures that only authorised companies and educational partners have access to cleverheads.

I’ve forgotten my login details.

Your username is the email address that you saved in cleverheads. You create a new password by using the "lost password" functionality.

I can’t log in.

Please ensure that you have entered the correct login details and that your browser accepts cookies. Functions such as logging in do not work without cookies.

Data privacy

What data are saved?

We save data that you transfer to us during use as a matter of principle. Other information (browser, town / city, anonymised IP address, etc.) is collected for statistical purposes. You will find further information about this in the “Data privacy information” menu.

Who can view my data?

Companies / educational partners: Your company’s / institution’s data are shown in the publicly-accessible company profile / educational partner profile. Your personal contact details are sent to applicants when they are invited to join and are shown to all other participants in cleverheads. Applicants: Your data can only be viewed by companies that have been activated by the cleverheads manager beforehand.

Where are the data stored?

The cleverheads servers are located in a certified high-tech computer centre in Cologne. In other words, the data are stored and managed in Germany.

Do companies pass on my details?

No. When sending an invitation, HR managers only enter your first name, surname and email address. This information is only used to send the invitation and is not saved. You make your own decision about whether to accept the invitation and enter your personal data.

How can I invite applicants?

Invitation is a three-stage process. First of all, enter the applicant’s first name, surname and email address. Then, complete the “Your recommendation for the applicant” field if you wish to do so. In the last stage, you can adapt the invitation text. The applicant information required for the invitation is not saved. Data privacy is guaranteed.

How do I add new users to my company account?

To do this, log in, navigate to the “Account” menu item and select “More users”.

How do I change the company profile?

You can edit the content at any time via “Account” and “Company profile”.

How do I change my personal profile?

You can change your personal profile at any time via “Account”.

How do I find suitable applicants?

In “Applicants”, you can use the search field to filter the applicants by town / city, desired profession or start date.

Where do I find my recommendations?

You can view your recommendations via the “My recommendations” filter under “Applicants”.

Which browser should I use?

For cleverheads to work perfectly, we recommend using the latest version of one of the popular browsers (e.g. Google Chrome, Internet Explorer, Mozilla Firefox). No strictly text-based browsers are supported. Smartphones and tablets that support HTML-5 can use the full range of cleverheads functions.

How can I delete my account as a company?

To delete your account, please write a message to the Support Team using the contact form.

How and who should I inform of the appointment of a candidate?

You can select your applicant from a list and report the appointment via the “report appointment” menu listing. Of course, you can also do this easily via the list of applicants or the applicant’s profile.

When do I have to pay a recommendation fee and how much is it?

You have access to strong applicants who have been checked and personally recommended by personnel experts or educational partners via cleverheads. The fee is based on the applicant’s annual salary, but is always less than 10%. Click here to go to the overview of fees.

How does the payment of recommendation fees work?

After you have reported the appointment of an applicant, you will receive an invoice from us by post which can be settled in the normal way.

How much is my bonus and how does payment work?

The bonus is based on the annual salary of the recommended applicant. You will receive an e-mail from us describing all of the steps required for payment.

Functionality for applicants

How can I decide which companies can view my profile?

You can select the companies you would like to keep your profile hidden from during registration. Afterwards, you can change this setting via “Your profile”.

How long does my profile remain in cleverheads?

You receive an update prompt every three weeks. If you do not actively reply, your profile is set inactive. Otherwise, your account remains active until you delete it yourself.

Costs and invoice

How much does cleverheads cost?

Companies: Access to cleverheads is subject to a fee. Please refer to the Registration page for the exact prices. Educational partners: cleverheads is free for you. Applicants: cleverheads is free for you.

How log is the term for a company account?

The term of the company account is 1 year from booking. It is automatically extended. You can cancel the account within four weeks till the end of the term. The wish for cancellation has to be in written form.
